Canvas and Box: Best Practices


This article describes some best practices when using Box with Canvas. Files stored in Box do not count against the Canvas file storage limit/quota of 1 GB. Box is also a handy way to post documents that may be updated frequently as the revisions do not to be reloaded to Canvas (as they would need to be if loaded directly to Canvas).

You can store most any type of file in Box to use with Canvas including media-rich PowerPoint files. If you are using stand-alone video or audio media consider using Kaltura for storage and making it accessible through Canvas.


Using the External Tool with Box

Pros: Most secure method for sharing a file from Box in Canvas.

Cons: Can only display one file per page. Can not be used on the Syllabus page.

  1. From the Modules page, click the + (plus) icon to add a page.
  2. In the resulting window select External Tool from the drop-down menu, then select Box.
  3. Follow the prompts to access the desired file from your Box account.
  4. In the resulting window, select People with the link from the drop-down arrow at the bottom-left. (This enables students to see the file without logging into their Box account.)
  5. If you don't want students to be able to download (and subsequently share) the file from Box: (These steps can be skipped if file sharing is inconsequential.)
    1. Login to Box in your browser.
    2. Navigate to the file you shared in step 3 above.
    3. Click Share to the right of the file-name.
    4. Click the gear symbol, then un-check Allow viewers to download.

Note: Users must set these permissions for each file individually. There is not a method to set "batch" file permissions.

Using the Box Editor Tool

Pros: Can be used on the Syllabus page. Can be used to share multiple documents on a single content page.

Cons: Anyone with the file URL can access the document.

  1. Navigate to the page where you want to link a file from Box using the Box Editor Tool and click Edit.
  2. Place your cursor in the Rich Text Editor window where you want the link to appear.
  3. Click on the Box symbol at the top of the Rich Text Editor, then go to step 3 above and follow the subsequent steps.
