As PSU has transitioned to remote work, many have requested information and resources regarding the need to sign and transmit documents.

There are two types of signatures, Digital Signatures and Electronic Signatures (E Signatures). The difference is that digital signatures require a private key be registered.

Following the Electronic Signatures in Global and National (E-Sign Act, https://www.fdic.gov/regulations/compliance/manual/10/x-3.1.pdf), Electronic Signatures are appropriate for most use cases, excluding real estate transactions and if required by the requestor. If there is a question on the use of E Signatures, please confirm with USNH Legal Council (https://www.usnh.edu/general-counsel-secretary).

It is recommended that PSU staff use Adobe Acrobat to generate E Signature requests.

Documents should be stored in a PSU managed content repository, such as One Drive or SharePoint. Guidance on document storage solutions can be found in the IT Knowledge Base (https://support.plymouth.edu/index.php?/Knowledgebase/List/Index/138/file-storage-and-sharing).

Adobe has offered Creative Cloud, free, to Faculty and Students until May 31, or when activity resumes.

Electronic Signatures

Digital Signatures
It uses a wide array of methods such as email, enterprise ID or phone verification, to authenticate signer identity. It leverages certificate-based ID to authenticate signer identity.
It leverages an audit trail to demonstrate the proof of signing a document. It binds each signature to the document via encryption, to demonstrate the proof of signing.
