Drupal: Linking to a File in Box


This article provides step-by-step instructions on how to create a hyperlink to a file stored in Box.

Drupal Intro Series - Linking to a File in Box


Please note: It is recommended that you create a folder in Box where your website files will be stored. This will allow you to more easily find, maintain, and link to your related files.

Start in the Box application:

  1. Open your web browser, log into Box, and navigate to the folder containing the file you wish to link to;
  2. Next, hover over the file listing and click on the "Share" button to the right of the file details;
  3. In the Share dialog box, click on the "Share link" toggle to enable a shared link. This will display a share link address;
  4. Below the share link address, click on the dropdown menu and choose "People with the link", then choose "Can view and download" or "Can view only" from the corresponding dropdown menu;
  5. To complete the share link process, click on the "Copy" button and the retain the link for use in your web page.

Log into your Drupal website:

  1. Navigate the the web page which will contain the hyperlink to the file in Box;
  2. Enter the "Edit" mode for the content area you will be working in. In this example, this means clicking on the "Edit" tab;
  3. Next, working in the WYSIWYG editor, type in the text that will act as the hyperlink, highlight that text, and then click on the "Link to content" button in the editor toolbar;

    Best Practice: Use descriptive language for your hyperlink text, such as “2019 Open House schedule” rather than “click here” or “download this file.” This not only helps to inform visitors to your page, but also helps to improve search engine optimization (SEO).
  4. Next, paste your Box share link into the "Link URL" field;
  5. Next, click on the "OPTIONS" dropdown, then click on the "Target" dropdown and choose "New window (_blank)";
  6. Next, click on the "Insert link" button;
  7. To complete the process, save your edits and test your new hyperlink.

Please note: To properly test the share link, either open your web page in a different web browser or log out of your current Box session. This will allow you to determine whether or not you configured the share link correctly.

Your new hyperlink should open in a new window (or tab) and display the file stored in Box.
